Privacy Policy

This policy covers the public Kappa Theta Pi (“KTP”) website for the University of Washington chapter and its members-only portal. KTP at UW is a registered student organization, not a commercial business. Questions? Email kappathetapi@ktpuw.org.

What we collect

• Contact form. Your name, email, subject, and message. These are emailed to the chapter’s inbox so we can reply; they are not stored in a database on this site.
• Member accounts. If you are admitted to the chapter, we store your name, email, and the chapter records tied to your membership: points, dues, absence requests, and any proof files you upload. Reimbursement requests are handled through a separate Google Form, not this site.
• Payments. Dues payments are handled by Stripe. We receive a record that a payment succeeded and its amount; we never see or store your full card number.
• Cookies. Only strictly necessary cookies: the ones that keep you signed in and secure your session. No analytics, advertising, or cross-site tracking cookies are used. (A short-lived preview cookie exists on non-production builds for development only.)

How we use it

To run the chapter: respond to inquiries, manage membership records, collect dues, and send you notifications about points, payments, absences, and events. We do not sell your information or use it for advertising.

Who it is shared with

We use a small number of service providers to operate the site:

• Supabase: database, authentication, and file storage.
• Stripe: dues payment processing.
• Resend: delivery of transactional and contact-form email.
• Railway: application hosting.

Each processes data only to provide its service to us. We may also disclose information if required by law or to protect the chapter and its members.

How long we keep it

Member records are kept for the duration of your membership and alumni status. Uploaded proof and receipt files are automatically deleted after roughly 30 days. Contact-form emails live in the chapter inbox and are cleared periodically.

Your choices

To see, correct, or delete the information tied to your account, email kappathetapi@ktpuw.org and we will handle it within a reasonable time. This site is not directed to children under 13.

Changes

We may update this policy as the chapter’s tools change. The “last updated” date above always reflects the current version. See also our Terms of Use.
